This is a screen shot of the main screen – the Dashboard. With one view you can see the status of all invoices, payments and due amounts. You can drill-down to view invoices, clients, email invoices, and make manual payments.



Here's a typical client list. From this screen you can view and edit client details, generate account statements, generate vCard, view and print a Google map to the client's location. From the client detail screen, you can define payment terms, standard discount levels, billing email address, cc email address (for billing), have client specific tax rates (up to two levels), define a marketing campaign (for bulk emailing), upload files specific for this client, store notes about the client, generate a Billing label, generate a vCard, view a Google map to the client's location, and view client access logs.

Managing payments is a breeze, whether manually entered or paid online by the client. InvoiceTrax manages partial payments, full payments, even credits towards future invoices. From this screen, delete payments, email payment details to the client, view/edit payments, view/edit invoices, view/edit staff, view/edit clients, and view payments and amounts due status. From the payments detail screen, you can define the payment method, include any attachments that will be emailed along with the payment notification, define the amount of the payment, define the payment reference, and date received.






Recurring Invoice screen (the invoice screen is similar). From this screen, update client details, tracking number, purchase order, date created, date due, date recurring invoice expires, recurring cycle (each of the 12 months), choose to send emails on creating invoice, choose to mark payment as paid on creating invoice, add invoice items (unlimited), item quantity, price, discount, taxes (no limits, handles US federal, US state, Canadian GST, PST, HST, UK VAT, etc.), and define if this is a warranty claim (will zero out line item extended price). Calculations are automatic once you update. You can also add invoice notes.

Can InvoiceTrax manage recurring invoices?
Absolutely! That is one of the most powerful features of InvoiceTrax, along with managing recurring payments too!

We use a competing product. Why should we switch?
Most competing products or services offer a range of pricing options from free all the way up to $149. a month. The "free" services have extreme limitations and include advertising for the service in emails sent to YOUR client. InvoiceTrax charges $14.95 a month, and has absolutely no limitations and no advertising in emails sent to your clients. In effect, the InvoiceTrax.com service looks like it is your own. We have no branding of our own to conflict with your marketing or branding efforts.

The current service we use does not allow posting revenue from cash sales or counter credit card receipts. Does yours?
Absolutely! We recognize that businesses want to track invoicing and payments as well as cash receipts taken at the counter (including credit card payments processed). No limits, and can be daily or for any period you want - although we would recommend some sort of regular schedule posts.

Can I use my own credit card merchant service?
Yes, with some limitations. The InvoiceTrax.com website does not collect any credit card information from anyone. Our payment gateways are limited to "direct connect" only, where we pass the invoice number and total amount to the credit card merchant service and let them collect the client's billing address and credit card information. The credit card merchant service will pass back the outcome of the credit card payment process (failed or authorized) and return the client back to the appropriate page. Based on the information returned by the credit card merchant service, we will post to the database the results of the transaction.

Do I have to sign a contract?
No. Every plan is month to month and you can cancel at any time. Take advantage of our sign-up 30-day money back and you have absolutely no risk in trying InvoiceTrax.
